Medway Valley Fisheries are committed to safeguarding the privacy of all of our members and website users.
On the 25th May 2018 the General Data Protection Regulation, known as GDPR, comes into effect. GDPR imposes additional obligations on organisations and gives you extra rights around how your data is used.
We want you to know that Medway Valley Fisheries respects the information we hold on you and that we take the security of your information very seriously.
WHAT INFORMATION DO WE ASK FOR?
When you apply to become a member of Medway Valley Fisheries we request the following information from you via the online application forms on our website:
We never use paper application forms unless specifically requested to do so e.g. if the member has no access to a computer or email address.
HOW DO WE USE YOUR INFORMATION?
All information we request is solely used for the purpose of issuing out Medway Valley Fisheries Membership cards and keys. We need it to clarify your identity and the type of membership that you qualify for e.g. If you qualify for an Adult (over, Junior or Concession membership).
WHERE DO WE STORE YOUR INFORMATION?
All the information we collect from you is stored and processed in the UK. The Membership database containing all member information collected from the online application forms is stored and remotely backed-up on a secure web server in a Data Centre managed and owned by the UK web hosting company EUKHost.
NO debit/credit card details are ever stored by Medway Valley Fisheries.
No member information is stored on computer hard drives owned and used by Medway Valley Fisheries, with the exception of the member’s photos.
We will always take all necessary steps to ensure that your data is treated securely and in accordance with this privacy policy.
WHO DO WE SHARE YOUR DATA WITH?
Medway Valley Fisheries will NEVER sell your information on to any third parties.
Payment Processing: We use WorldPay to provide us with a secure debit and credit card payment processing service. If you choose to pay by this method online via our website, your card details, name, address, IP address, and email will be transmitted to Worldpay securely for the processing of payment and for fraud prevention. Worldpay will not store your card details unless you opt to do so. More information can be found at https://www.worldpay.com/uk
IT Companies: We work with businesses who manage and support our website and as such, they have access to the information that we request from you in order to process your application for membership.
In rare cases we may disclose information to third parties where a legal obligation, or similar order is enforced upon us.
Medway Valley Fisheries do not share data with any third parties other than those specifically mentioned above.
HOW DO WE KEEP IN TOUCH WITH OUR MEMBERS?
Email is the preferred method of contact that we use to get in touch with our members.
Medway Valley Fisheries will notify members by email when new information is available in the Members Area of the website (e.g. annual newsletter upload) or other important club information that is essential for members to be aware of (club rules changes etc.) These emails are sent to members own individual email addresses and are not sent to bulk email addresses.
We will only ever contact you by email, telephone or by post on matters specifically relating to your membership within the club. We will not contact you for marketing purposes by email, post or over the telephone.
HOW LONG DO WE KEEP YOUR INFORMATION ON FILE?
We keep your information on file for the duration of your membership with Medway Valley Fisheries. Unless a request is made to us to delete it sooner, members information is kept up to one year after the member has left the club, after which time it is permanently deleted.

THE USE OF COOKIES ON OUR WEBSITE
Cookies are small text files that are stored on your browser or the hard drive of your computer or other device when you visit the Site. This allows the Site to recognise you as a user either for the duration of your visit or for repeat visits. They are not harmful and do not contain any information such as your home address, date of birth or credit card details.
When you visit our website you will be informed that we use cookies on our website and will see a link to the cookie policy. If you continue to use this site without disabling cookies we will take that as your consent for us to place cookies on your computer. Please remember if you do disable cookies then some parts of our website may not work properly.
GIVING YOUR CONSENT
The GDPR legislation requires that all members actively give consent to Medway Valley Fisheries requesting, storing and using their data as set out in this policy.
The information we request (as detailed in this policy) is deemed necessary by Medway Valley Fisheries as without the information we request, we are unable to issue a Membership Card or key, both of which are required by members to gain access to our lakes and private premises.
Children (Junior Members) aged 13 or over are able provide their own consent. (This is the age proposed in the Data Protection Bill and is subject to Parliamentary approval). For children under this age consent must made on their behalf by whoever holds parental responsibility for the child.
